This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our platform services.

1. Information We Collect

We may collect the following categories of personal information:

  • Contact Information: Name, email address, phone number, company name, and job title that you provide when contacting us or requesting a demo.
  • Usage Data: Information about how you interact with our website, including pages visited, time spent, referral URLs, and browser type.
  • Platform Data: Technical data related to your use of the Deepiix platform, including job configurations, performance metrics, and cluster specifications you provide.
  • Communications: Records of correspondence you send to us via email or through our website.
  • Cookies and Tracking Technologies: We use cookies and similar tracking technologies to analyze website traffic and improve user experience. See our Cookie Policy for details.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide requested services
  • Schedule and conduct product demonstrations
  • Send technical documentation, platform updates, and relevant communications
  • Analyze website performance and improve our services
  • Comply with legal obligations and enforce our terms
  • Prevent fraud and protect the security of our systems

We do not sell your personal information to third parties. We do not use your information for automated decision-making that produces legal effects.

3. Legal Basis for Processing (California)

For California residents, we process your personal information under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA). You have the right to:

  • Know what personal information we collect and how it is used
  • Delete personal information we hold about you
  • Opt out of the sale of your personal information (we do not sell personal information)
  • Non-discrimination for exercising your privacy rights
  • Correct inaccurate personal information
  • Limit use of sensitive personal information

To exercise these rights, contact us at team@deepiix.com.

4. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law. Contact and communication records are retained for up to 3 years. Platform usage data is retained for 12 months and then aggregated or deleted.

5. Data Sharing and Disclosure

We may share your personal information with:

  • Service Providers: Trusted third-party vendors who assist us with website hosting, analytics, email services, and customer relationship management. These providers are contractually obligated to protect your data.
  • Legal Requirements: When required by law, subpoena, or other legal process, or to protect the rights and safety of Deepiix and others.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice provided to affected users.

6. Security

We implement industry-standard technical and organizational security measures to protect your personal information, including TLS encryption for data in transit, access controls, and regular security audits. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Third-Party Links

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those websites and encourage you to review their privacy policies before providing any personal information.

8. Children's Privacy

Our services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes by posting the new policy on this page with an updated effective date. We encourage you to review this policy regularly.

11. Do Not Track Signals

Some browsers have a "Do Not Track" feature that lets you tell websites that you do not want to have your online activities tracked. We currently do not respond to Do Not Track browser signals. If a standard for Do Not Track is adopted by the California Attorney General or other regulatory bodies, we will reassess our approach and update this policy accordingly.

You may, however, manage your preferences for analytics tracking through the cookie consent banner on our website, or by adjusting browser settings as described in our Cookie Policy.

12. International Transfers

Deepiix is headquartered in San Francisco, California, United States. If you are accessing our services from outside the United States, please be aware that your information may be transferred to, stored in, and processed in the United States. The United States may have different data protection laws than your country of residence. By using our services, you consent to the transfer of your information to the United States.

For customers in the European Economic Area, United Kingdom, or Switzerland who may interact with our services, we apply appropriate safeguards for any cross-border data transfers, including standard contractual clauses where required.

13. Data Processing for Enterprise Platform Users

If your organization uses the Deepiix platform under a separate service agreement, the processing of technical data submitted to our infrastructure (including training job configurations, model weights, and cluster metrics) is governed by that service agreement and a Data Processing Agreement, if applicable. The processing of such data is subject to the specific terms agreed upon between Deepiix and your organization, which may supplement or supersede certain provisions of this Privacy Policy.

We maintain the following security practices for enterprise platform data:

  • Encryption of data in transit using TLS 1.2 or higher
  • Encryption of sensitive data at rest
  • Role-based access controls limiting staff access to customer data
  • Regular security assessments and penetration testing
  • Incident response procedures and breach notification protocols
  • Vendor management controls for third-party service providers with access to customer data

14. Automated Decision-Making

We do not use your personal information for automated decision-making that produces legal or similarly significant effects on you. Our platform's scheduling algorithms operate on technical workload data (GPU memory requirements, job profiles, cluster topology), not on personal information about individuals, and the outputs of those algorithms are used to optimize resource allocation — not to make decisions about individuals.

15. Aggregate and De-identified Data

We may create aggregated, de-identified, or anonymized information from personal information by removing information that makes the data personally identifiable. We use this aggregated and de-identified data for legitimate business purposes, including improving our platform algorithms, publishing industry research, and analyzing usage trends. Aggregated and de-identified data is not subject to this Privacy Policy.

16. Authorized Agent Requests

California residents may designate an authorized agent to make privacy rights requests on their behalf. To authorize an agent, provide us with written permission signed by you designating the agent, or proof of power of attorney. We may still require you to verify your own identity directly when an authorized agent submits a request.

To submit a request or designate an authorized agent, contact us at team@deepiix.com with the subject line "Privacy Request."

17. Financial Incentives

We do not offer financial incentives or price differences in exchange for the collection, retention, or sharing of personal information. All users receive equal access to our publicly available website content regardless of their privacy choices.

18. Privacy of Minors

Our services are designed for professional and enterprise use in the field of machine learning and AI infrastructure. We do not knowingly collect personal information from individuals under the age of 16. Our platform is not intended for use by minors. If you are a parent or guardian and believe that your child has provided personal information to us, please contact us immediately at team@deepiix.com. If we become aware that we have collected personal information from a child under age 16 without parental consent, we will take steps to promptly delete that information.

19. Testimonials and Case Studies

We may publish testimonials or case studies about our platform on our website, which may include customer organization names and general descriptions of their use cases. Before publishing any material that identifies your organization or includes specific performance metrics attributable to your use of our services, we will obtain your written consent. You may withdraw consent for use of testimonials or case studies at any time by contacting us at team@deepiix.com.

20. Right to Lodge a Complaint

If you have concerns about our privacy practices that we have been unable to resolve to your satisfaction, California residents may contact the California Privacy Protection Agency (CPPA) or the California Attorney General's office. You also have the right to file a complaint with any competent data protection authority if you believe our processing of your personal information violates applicable law.

We encourage you to first contact us directly, as we are committed to addressing any privacy concerns promptly and transparently. Our dedicated privacy contact is available at team@deepiix.com.
